Inventory Adjustment Workflow Guide

Help me create a structured inventory adjustment workflow for my Shopify store. I need a process that maintains accuracy while providing accountability for all inventory changes.

My store has [NUMBER_OF_SKUS] SKUs across [NUMBER_OF_LOCATIONS] locations, managed by [NUMBER_OF_STAFF] staff members.

Please set up the following:


  Define adjustment categories with reason codes:
    
      Damaged goods (code: DMG) – items damaged in storage or transit.
      Shrinkage/theft (code: SHR) – unexplained inventory loss.
      Supplier correction (code: SUP) – wrong quantity received from vendor.
      Count correction (code: CNT) – physical count differs from system.
      Return to stock (code: RTS) – customer returns added back to inventory.
      Internal use/samples (code: INT) – items removed for company use.
      [CUSTOM_REASON] (code: [CUSTOM_CODE]) – specific to my business.
    
  
  Set up approval tiers based on adjustment value:
    
      Under [SMALL_VALUE]: staff can adjust directly, logged automatically.
      Between [SMALL_VALUE] and [LARGE_VALUE]: requires [MANAGER_ROLE] approval.
      Over [LARGE_VALUE]: requires [SENIOR_ROLE] approval with documentation.
    
  
  Create an adjustment form template capturing:
    
      SKU, product name, location, quantity change (plus or minus).
      Reason code, detailed notes, supporting evidence (photo if applicable).
      Adjusted by, approved by, date and time.
    
  
  Implement audit trail requirements:
    
      All adjustments must be traceable to a specific person and reason.
      Monthly adjustment summary report by reason code and location.
      Quarterly trend analysis to identify systemic issues.
    
  
  Train staff on when and how to make adjustments properly.
  Set up a weekly review meeting agenda for the top adjustments needing attention.
